Job Summary
The Executive Assistant is a highly adaptable and proactive member of our team, committed to supporting the CEO in leading with excellence and impact. You’ll often work side-by-side with the CEO and become a trusted right hand for both recurring operational support and unpredictable day-to-day needs. Your strengths include resourcefulness, strong follow-through, and clear communication. You anticipate what needs to happen next, ask thoughtful questions, and take ownership from start to finish.
You are a self-starter, a connector, and a doer. You believe small actions have a big impact, and you enjoy bringing order, creativity, and clarity to fast-moving environments.
CEO & Office Support:
- Provide administrative support including calendar management, meeting preparation, travel coordination, and project tracking.
- Partner with CEO to prioritize time, manage tasks, and execute strategic goals.
- Manage confidential information with the utmost discretion and professionalism.
- Co-work alongside the CEO on high-focus days to facilitate communication, idea capture, and action step implementation.
Project Execution:
- Execute various tasks with minimal instruction—such as booking venues, gathering vendor quotes, compiling reports, creating checklists, and tracking deadlines.
- Serve as the point of contact in various projects to vendors and service providers for logistics, confirmations, and follow-ups.
- Anticipate project needs and proactively identify gaps, missing information, or unanswered questions.
- Maintain organized records, shared folders, and task trackers that align with firm systems.
Operations & Client Service:
- Assist in gathering and entering information into software systems (CRM, calendar systems, financial platforms, etc.).
- Create or refine client-facing materials such as spreadsheets, email drafts, or event packets.
- Call vendors, companies, or service providers to obtain account statements, confirm service details, or inquire about processes.
Internal Coordination:
- Coordinate and follow up on internal meetings or events including room reservations, materials prep, or food ordering.
- Act as a central hub for communications between CEO and other team members when needed.
- Keep the CEO organized, prepared, and focused.
Requirements:
- Proven experience as an Executive Assistant or in a similar administrative role
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong proofreading abilities to ensure high-quality documentation
- Experience with project coordination and the ability to manage multiple projects simultaneously
- Familiarity with data entry processes and maintaining accurate records
- Knowledge of DocuSign or similar electronic signature platforms is a plus
- Exceptional verbal and written communication skills

Pay: $25.00 – $40.00 per hour
